Setting Up WorkPay

WorkPay lets your studio accept card and bank payments directly inside Workroom, with funds deposited to your business bank account. Getting started means completing a short merchant onboarding application, which goes through a standard underwriting review. This article covers what you'll need, how to apply, and how to give your application the best chance of fast approval.


What is WorkPay?

WorkPay is Workroom's built-in payment processing. Once approved, a Pay Now button appears on your invoices so clients can pay by card or bank transfer, and money is paid out to your studio — no separate processor account required. The standard rate is 3.25% + $0.30 per transaction.


Before you apply — what to gather

Have this information ready so you can complete the application in one sitting. Underwriting is a "Know Your Business / Know Your Customer" review, so accuracy matters.

Business details

  • Legal business name (exactly as registered) and any DBA / "doing business as" name

  • Business structure (sole proprietor, LLC, corporation, partnership)

  • Business address and contact phone/email

  • Business website or a link to your portfolio/social presence

  • Federal Tax ID (EIN) — or SSN if you operate as a sole proprietor

  • Approximate monthly/annual processing volume and average transaction size

  • A short description of what you sell (e.g., "interior design services and furnishings")

Ownership information (for each owner with 25%+ stake, plus a control person)

  • Full legal name, date of birth, home address

  • Social Security Number (used for identity verification)

  • Ownership percentage

Banking (for payouts)

  • Business bank account and routing numbers

  • The account should be in the business's legal name that matches your application

Supporting documents (may be requested depending on your business)

  • Voided check or bank letter confirming the deposit account

  • Business formation documents or license

  • Recent processing statements (if you've accepted card payments elsewhere)

  • Government-issued photo ID for the owner(s)


How to apply

  1. Go to Settings → Company (Payments / Connections area).

  2. Click Connect WorkPay.

  3. Complete the onboarding application with the details above.

  4. Submit. Your application then moves through underwriting.

You can check your progress anytime — the status updates through stages such as Submitted → Underwriting → Approved → Activated → Live. Once your account is Live, the Pay Now option turns on automatically for your invoices.


Best practices for a smooth, fast approval

  • Match everything exactly. Legal name, address, and Tax ID should match your IRS and bank records precisely. Mismatches are the #1 cause of delays.

  • Use your business bank account, not a personal one, and confirm the account name matches your business name.

  • List all beneficial owners (anyone with 25%+ ownership). Missing or inaccurate ownership info triggers manual review.

  • Give a clear business description. "Interior design services and FF&E procurement" is far better than "design." Underwriters want to understand what a customer is paying for.

  • Have a working website or public profile. A live site, active social page, or portfolio helps verify a legitimate, operating business.

  • Set realistic volume estimates. Wildly high or vague numbers can prompt extra questions; estimate based on your actual invoicing.

  • Respond quickly to any follow-up requests. If underwriting asks for a document (voided check, ID, formation docs), sending it promptly keeps things moving.

  • Complete it in one session with your documents on hand to avoid a stalled, partially-filled application.


After you submit

  • Most applications are reviewed within a few business days, though timelines vary based on business type and whether additional documents are requested.

  • If more information is needed, you'll be asked for it — check your onboarding status and email.

  • When approved and activated, no extra steps are needed on your end; Pay Now becomes available on your invoices.


Common reasons for delays or declines

  • Name, address, or Tax ID that doesn't match official records

  • A personal (rather than business) bank account, or a mismatched account name

  • Incomplete ownership information

  • A vague business description or no verifiable web presence

  • Unresponsive to document requests during review

  • Business type outside supported categories


Notes

  • WorkPay can run alongside Stripe — you choose which processor powers the Pay Now button for your account.

  • Your processing rate and default fees can be reviewed in your default fee settings (minimum 3.25% + $0.30 per transaction).
