Client conversations can now reach people by email — and they can reply straight back into the thread. Alongside that: a much more forgiving spreadsheet import, linked purchase orders and invoices on every Library item, and a long list of fixes from your reports.

Clients can be emailed — and can reply

Until now a Comms conversation only existed if your client happened to open the portal. It can now come to them.

New — Catch-up emails for unread messages. When a client hasn't read what you've sent, they get one email with their own last message for context and everything you've said since. It never marks anything read — a nudge, not a receipt.

New — Clients reply by email, and it lands in the conversation. Your client just hits reply. Their answer appears in the same Comms thread, with no login and no app to learn. Replies are matched back to the exact conversation they came from.

New — You choose the wait, from 15 minutes. Set how long a client may sit on unread messages before we email them, in 15-minute steps. Off by default, per studio, in Settings › Client experience.

New — Two ways to check it's working. Why has no email gone out? reports, conversation by conversation, exactly what would happen right now. Send one to me now delivers a real one to you so you can see it before a client does.

Fixed — The Inbox badge clears when you open the message. The unread count used to keep counting messages you'd already read until you reloaded the page.

Turning it on: the switch and the delay are in Settings › Client experience. Reply-by-email needs the platform reply mailbox connected once by an administrator — until then emails still send, and simply tell clients to open the conversation instead of replying.

Comms documents

New — Folders, tiles and files from chat in one place. Files shared with a project and files posted into the conversation now appear together, as tiles rather than a bare list, and folders are named in Workroom instead of a browser pop-up.

Fixed — A long message is no longer lost. Drafts survive a refresh, an error or a mis-click into another channel.

Library

New — See which PO, invoice or estimate an item is on. Three optional columns — On PO, On invoice, On estimate — each showing the document number as a link straight to it. A document that has been deleted stops showing.

New — Select sub-items and act on them. Sub-items have their own checkbox, so you can put one on a purchase order, bulk-edit it or export it without pulling it out of its parent first. Ticking a parent deliberately does not sweep in its sub-items.

New — Saved share templates. Save the set of fields you share with clients and reuse it, instead of rebuilding the selection every time. The checkboxes are toggles now.

New — "Used in" is a column you can hide. The linked-documents icon now has a heading and appears in Show columns like everything else.

New product imports

NOTE: We are still performing testing, and adjustments to the product import.

Imports used to depend on the column order being exactly right. Move one column and the file was refused, or worse, read into the wrong fields.

New — Columns matched by name, not position. Reorder columns, delete ones you don't use, or add your own working columns — the file still imports. Anything skipped is named rather than dropped quietly.

New — A mapping step for files from other systems. Moving in from another platform? Point each of your columns at ours, with sample values from your own file shown underneath so you can tell similar-looking columns apart. We suggest matches; nothing is applied until you confirm.

New — Fix bad rows before they import. Every row is checked in the browser and shown in an editable table. Correct a cell, or drop the row — nothing is sent until the file is clean, so a single bad line no longer fails the whole import with a database error.

New — Timelog imports: clearer, and with dropdowns. Required and optional columns are stated plainly, service/role is included, and phase and room are dropdowns of that project's real phases and rooms — so a mismatch is fixed on screen instead of back in the spreadsheet.

Fixed — Room names would never match. A timelog row with a room in it was rejected no matter how exactly the name was typed. Only blank rooms imported.

New — Separate client and vendor descriptions. The product template carries both, so the vendor description can finally be imported.

Contracts

Fixed — Typed signatures appear on the document. If a signer typed their name rather than drawing it, the signature line came out blank — while their name and the date printed normally beside it. Drawn signatures were never affected.

New — Revert one signature without resending. Clear a single party's signature so they can sign again on the link they already have. Nobody else is disturbed, and the original signing event stays in the audit trail.

Estimates, invoices & purchase orders

New — Emails look like they came from your studio. Your logo and name, a proper layout, and a button through to the document — instead of an un-styled block of text.

Fixed — Email template placeholders now work. The placeholders offered in Settings didn't match the ones the system filled in, so some were sent to clients as raw text and others vanished from the message. Every template now offers the correct placeholders for its own document type.

New — Templates start from a written draft. Each template opens with a properly formatted starting point — greeting, a details panel, a button, a sign-off — that you can edit. Reset to our default puts it back.

New — Specifications start collapsed. Adding a product used to expand its specifications automatically, so documents arrived verbose and had to be tidied item by item. Now off by default, with a studio setting to turn it back on.

Fixed — Per-person rates save correctly. Choosing "use default" for a team member's rate silently failed to save, and travel could come back unticked.

Projects, phases & budgets

New — More than one billing group of the same kind. Charge hourly for design and hourly for site supervision, at different rates, against different phases, reported separately. Previously a second group of the same type was refused.

New — Estimate phase hours by ticking the phase. Ticking a phase opens its hours box directly. The old "no estimate / by phase / by service / both" selector is gone.

Fixed — The billing group window scrolls. With enough phases it grew past the bottom of the screen and pushed Save out of reach, making the work unsaveable.

New — Phase colour, description and duration carry across. Import phases into a project and the bar shows the full duration, with the description and colour you chose.

New — Delete a project type. With a confirmation that tells you how many default phases go with it and how many live projects use it. Those projects keep their phases.

Fixed — Assigning a team member to projects now adds them. A new contact assigned to projects was recorded on their own record but never appeared on the projects themselves.

Fixed — Saving a project is fast again. Plus: the phase menu no longer hides behind the retainer section, photo upload works when editing, and task templates without a phase are added to Work in Progress.

Retainers & reports

New — Full retainer actions inside a project. The same actions as the main Finances list, and the status now matches what that list shows — a draft retainer no longer reads as "Closed".

New — "Not yet invoiced" on the Products report. Show only products that have never been added to an invoice. Draft and declined invoices still count as invoiced.

Fixed — Recap emails exclude invoices hidden from the client. The balance in the weekly update no longer includes documents the client can't see.

Settings

New — "Catalog and lists" is now "Library and statuses". It configures the Library, so it now says so. Search still finds it under the old name.

New — Confirmations before destructive actions. Removing a phase, a task template or a service now asks first and tells you what it affects. So does Reset to recommended.

Fixed — Settings that had gone missing. The timelog start/end toggle is back, project types match the ones you can actually pick when creating a project, product tag colours are editable again, and connected accounts have a home under You.

Client portal

Fixed — Clients can see their documents. Document access was blocked for every client regardless of what the studio's plan included.

Fixed — "Project not found" on every project page. Project-scoped routes failed to load for clients. Pages also stop scrolling past their own content.

Performance & security

New — Lighter, quicker pages. Nine unused icon libraries removed and signature fonts deferred, so pages load with less to download.

New — Security hardening. Stronger password rules, sessions that end properly, refresh tokens that rotate and detect reuse, and patched dependencies — no known critical or high vulnerabilities remain in the web app.

Fixed — Adding an image to a product stopped failing. A saved file could come back as an error even though it had worked. PDF exports also capture the page you're on rather than the dashboard behind it.
