What your vendor receives and sees
Written By Timothy Murenzi
This is what a vendor experiences after you send a quote. They never need a Workroom account.
The email
Each vendor receives an email with your intro paragraph (your own or Walter's), a button to open their response page, a list of the details you're asking for, and the respond-by date if you set one. Reps you ticked under Also send to receive the same email and share the same link.
The response page
The link opens a clean, branded page — no login required. From top to bottom it shows:
Your company header — logo, company name, email, phone and website, taken from Settings → Studio → Company.
Account number — your account number with that vendor, from the vendor's record (blank if none is on file).
Quote number and title, a short greeting to the vendor, and the respond-by date if set.
Your name — the vendor enters who is filling it in.
Attach your quote (optional) — the vendor can upload their own PDF quote instead of, or as well as, filling in the form (PDF only, up to 15 MB).
Each item, with:
The product image, name and requested quantity.
A read-only Product details panel — manufacturer, model/SKU, dimensions, color, finish, material and description — so they know exactly what they're pricing.
The fields you asked for (Delivery Type appears as a dropdown) and an optional Notes box.
A Submit quote button.
What vendors can't see
A vendor only sees their own items and the fields you asked for. They never see other vendors, other vendors' items, your costs, your client pricing or your margins.
After the vendor submits
The vendor sees a thank-you confirmation. If they open the link again later, it shows they've already responded.
You get a notification in the bell and a pop-up at the bottom of the screen, linking straight to the quote.
On the quote, their chip changes to responded with the respondent's name, and the quote status moves to Partial or Responses In.
How long links last
Response links are valid for 30 days from when the RFQ is sent. After that the vendor sees an "expired" message. To get a fresh link, select the items in the Library and send a new RFQ.
Tip: want to see the vendor page yourself? Add your own email as a rep on a test vendor (or send an RFQ to yourself) and open the link from the email.
