What it is A heatmap of your team's planned workload — members down the side, time periods across the top — so you can see who's over-booked and who has room.
Reading the heatmap
Switch between Week and Month periods, and choose a horizon (e.g. 12 weeks, or 1/3/6/9/12 months).
Each cell shows a member's % utilized for that period, based on the hours of the tasks assigned to them.
Set the weekly capacity so the percentages reflect your team's real available hours.
Hover any cell for a breakdown card showing that member's tasks, free/over hours, and top work.
Reallocating an over-booked member When a cell is over 100%, the hover card shows a Reallocate button:
Click Reallocate to open a larger modal listing all of that person's tasks in the period.
Reassign a task to someone with more capacity — Workroom recalculates both people's utilization instantly.
Splitting a task's hours across people Reassigning a whole task doesn't help when the single task is itself larger than someone's weekly capacity. In that case, split the task:
In the Reallocate modal, click Split hours on a task.
Add each person and enter how many hours each should carry. A live sum shows the total and remaining.
Save. The task is now assigned to everyone in the split, but each person only carries their allocated hours — so their utilization reflects the true share, and the rest is spread to others.
