Quotes (RFQ)

Creating and sending a request for quote

Written By Timothy Murenzi

Every quote starts in the Library. You pick the products, choose what you want each vendor to tell you, and Workroom emails each vendor a private link with only their items.

Selecting two products in the Library, opening the RFQ window, adding a title and custom field, drafting the email with Walter and sending

Step 1 — Select products in the Library

  1. Click Library in the left sidebar.

  2. Tick the checkbox at the left of each product you want priced. A bar appears at the bottom of the screen showing how many are selected.

  3. Click RFQ in that bar.

The quote is built from exactly the items you selected, so select the full set before you click RFQ. Items from different vendors are fine — Workroom splits them up for you.

Step 2 — Fill in the Request a quote window

The window's header shows how many items and vendors you've selected (e.g. 2 items · 2 vendors). The left side is what you're asking; the right side is who it goes to.

The Request a quote window with title, fields, respond-by date, email message and the vendors and items panel

Left side — what to ask

  • Title (optional) — a label for your reference, e.g. "Harlow dining room — rug and table". It shows in your Quotes list and on the vendor's page.

  • What do you need from the vendor? — click a chip to turn it on (green) or off (white):

Field

Vendor enters

Unit price *

Price per unit. Always on — it's the core of the quote.

Availability

Text, e.g. "In stock" or "Backordered to March".

Lead time

Text, e.g. "6–8 weeks".

Minimum order qty

The vendor's MOQ.

Freight cost

Shipping/freight amount.

Import fee

Any duty or import charge.

Delivery Type

A choice of Standard drop-off, Commercial dock delivery or White-glove delivery.

  • Add a custom field — type a label (e.g. "COM yardage", "Warranty") and press Enter or click + Add. Custom fields appear as chips with a bin icon so you can remove them.

  • Respond by (optional) — a deadline. It shows on the vendor's page and switches on automatic reminders (see Notifications, tracking, deadlines & reminders).

  • Email message (optional) — the opening paragraph of the email. Leave it blank for a standard message, or click Draft with Walter to have Walter write a friendly intro based on your items and fields. You can edit it before sending.

Right side — vendors & items

Items are grouped by vendor. Each vendor card shows:

  • Email — filled in from your vendor directory by matching the vendor name. Edit it if needed.

  • Also send to — the vendor's reps who have an email address on file. They're ticked by default and are copied on that vendor's email; click a rep to untick them.

  • Item chips — the products going to that vendor, with quantities (e.g. "Lux 2 Rug, Burnt Orange, 9x12 · ×1").

Step 3 — Send

  1. Click Send RFQ. Every vendor needs at least one recipient (their email or a ticked rep); if one doesn't, Workroom tells you which vendor to fix.

  2. A confirmation appears — e.g. RFQ QT-QT18 sent to 2 vendors — and you're taken to the new quote.

A newly sent quote showing each vendor with a sent status

What happens behind the scenes:

  • One quote is created, with each vendor as its own recipient and private link.

  • Each vendor (plus any ticked reps) is emailed a link that shows only their items.

  • The quote's status becomes Sent, and each vendor chip shows sent.
