Troubleshooting Quotes

Written By Timothy Murenzi

A vendor's email didn't fill in

Emails are matched from your vendor directory using the product's vendor name. A blank field means that vendor has no email on file. Either type the email into the RFQ window before sending, or add it to the vendor's record in Contacts so it fills in next time. Reps with an email appear as Also send to chips.

Some items are under "Unassigned vendor"

Those products have no Vendor set in the Library. Set a vendor on each product so they group correctly, or type an email into the Unassigned group to send it anyway.

I can't find the RFQ button

Select at least one product in the Library — the RFQ button is in the bar that appears at the bottom of the screen. If it's still missing, your permission set may not include Request quotes (RFQ).

A team member can't see Quotes

Quotes is hidden by default. In Settings → Studio → Team and rates → Permission sets, open their set, go to Money → Quotes and tick View quotes (and make sure Hide this module from the menu is unticked). See Permissions & visibility.

"Parse with Walter" or "Fill from PDF" filled in nothing

Both need Walter enabled on your account. If it isn't — or the text/PDF contains no readable pricing — nothing is filled and you can type the values yourself. The vendor's PDF stays attached and downloadable. Large PDFs can take 10–20 seconds; wait for the button to change from Reading….

The vendor says their link expired

Links last 30 days from sending. Select the items in the Library and send a new RFQ to issue a fresh link.

The account number or company header is blank on the vendor page

  • The account number comes from the vendor's record — add it in Contacts.

  • The header (logo, name, email, phone, website) comes from Settings → Studio → Company. Anything blank there won't appear.

Product images are missing

Images are pulled live from the Library each time a quote is opened. If an item has no image, the product has no image in the Library — add one and it will appear.

"Apply to Library" didn't change anything

Apply writes to the Library product linked to that line. If the vendor left a field blank, there's nothing to write. Check that the vendor entered a price and that the item came from the Library.

The status went back to "Responses In"

Logging or receiving a new response recalculates the status. Accept or reject a line and it moves to Reviewing again.

The PO has the wrong vendor

The PO vendor is matched by the vendor name on the quote. If the product's vendor name doesn't exactly match an existing vendor record, a new basic vendor may be created. Keep vendor names consistent in your directory to avoid duplicates.

A price shows no "vs Library" difference

The comparison only appears when the Library product has a cost to compare against. Products without a cost just show the quoted price.
