Quotes (RFQ)

Vendor emailed or PDF'd you instead? (Log a reply / Fill from PDF)

Written By Timothy Murenzi

Not every vendor uses the response link. When one emails you their prices or sends a PDF quote, you don't have to retype it — Walter can read it and fill in the quote for you.

Logging an emailed reply: paste the message, Parse with Walter, save the response, accept the line and apply it to the Library

Log a reply (pasted email)

  1. Open the quote in By vendor view.

  2. On the vendor's table, click Log a reply.

  3. Paste the vendor's message into Vendor's reply.

  4. Optionally, type who sent it in Respondent name.

  5. Click Parse with Walter. Walter reads the text and fills in the Values grid for each item (unit price, availability, lead time, freight and so on). Scroll the grid sideways to see every field.

  6. Check and correct the values, then click Save response.

The reply is saved as that vendor's response: their chip changes to responded (with the respondent's name), the totals update, and the lines are ready to accept and apply.

Fill from PDF

If a vendor attached a PDF on their response page, their table shows the PDF file name (click it to download) and a Fill from PDF button.

A vendor's PDF file name and the Fill from PDF button
  1. Click Fill from PDF. The button shows Reading… while Walter works — this can take 10–20 seconds.

  2. A two-pane window opens: the PDF on the left, editable fields on the right, so you can check Walter's work line by line. A message tells you how many items Walter read.

  3. Additional information from the PDF summarizes anything not tied to a specific item — quote number and validity, payment/deposit terms, totals, freight and tax terms, warranty, minimums and contacts.

  4. Correct any values in the grid, then click Save response.

Walter is required for parsing. Both tools use Walter. If Walter isn't enabled on your account, or the text/PDF has no readable pricing, nothing is filled in — type the values yourself. The pasted text and the PDF stay available for reference.
