Reviewing responses in the quote

Open any quote from the Quotes list (or you're taken there right after sending). The detail page is where all the review happens.

The header

  • Quote number and title, with a summary line (vendor count · item count · current status).

  • Refresh — reloads the latest responses.

  • Create PO from accepted (N) — appears when you have accepted lines not yet turned into POs (see Article 5).

  • Close / Reopen — archive the quote or bring it back (see Article 7).

The vendors strip

A row of chips, one per vendor, each showing a status dot and label:

The vendor opened the email or their page.

The vendor submitted their quote (shows the respondent's name).

An eye icon with "seen …" appears when the vendor opened the request email, with the date and time.

Totals and per-vendor summary

Above the items you'll see Quoted total, Accepted total, and a subtotal card per vendor, so you can size up the quote at a glance.

Two ways to look at the lines

Toggle between By vendor and Compare:

  • By vendor — each vendor's items in their own table, with the fields you asked for. This is where you take action on each line (accept/reject, apply, log a reply).

    • The price cell shows the quoted price and, when the item has a Library cost, the difference vs your cost (an up/down arrow with the delta, and "was $X" underneath).

    • Item names carry small pills once acted on: Applied to Library and PO {number}.

  • Compare — every item across all vendors in one sortable grid: Item, Vendor, Unit price, Extension, Qty, "vs Library" delta, Availability, Lead time, Decision. Click a column header to sort. Best for weighing options quickly.

Accepting or rejecting a line

In By vendor view, each line has a Decision cell:

  • Click the green check to accept or the red X to reject.

  • Once decided, the line shows Accepted or Rejected along with who made the call.

  • Accepting or rejecting your first line moves the quote to Reviewing.

  • Decisions are per line — you can accept some items from a vendor and reject others.

Apply accepted pricing to your Library

When a line has a quoted price and hasn't been applied yet, an Apply to Library button appears.

What it does: it writes the quoted values into the matching Library product — the unit price becomes the item's cost, and any other mapped fields (e.g. lead time) update too. Each field written is recorded in the product's changelog (e.g. "Designer changed Unit Cost from 420 to 385"). The line then shows an Applied to Library pill, and the button reports how many fields it applied.

Apply is per line and one-directional — it updates the catalog with the vendor's number. It doesn't change the quote.
