Troubleshooting & FAQ

My automation didn't run
Check these, in order:
Is it switched on? On the Automations page its card should say Active, not Paused.
Was it saved? Changes only count after you click Save in the builder (the button reads Saved when there's nothing new).
Did the event happen after you switched it on? Automations don't act on past events.
Is a condition excluding it? Open History. If the run started but stopped early, a condition wasn't met — loosen it or fix the value.
Is the trigger too specific? A Form submitted trigger set to one form won't fire for other forms.
Are the steps connected? On the canvas, every step needs a line from the step before it.
The test button says "Save the automation first to test it"
Click Save, then press ▶ again.
The email never arrived
Check the To setting on the Send email step — is it the right person for this trigger?
Make sure the contact has an email address on file.
Ask the recipient to check spam/junk and add your studio's sending address to their contacts.
Fire a test to yourself to confirm the email looks right.
A merge field came out blank (e.g. {invoice-number})
That information doesn't exist for the event that started the automation. An invoice number won't exist in an automation started by Contact added. Use merge fields that match your trigger, or remove the ones that don't apply.
A step was "skipped"
Run history shows the reason. Common ones:
"project not linked to Asana" — Asana steps need Asana connected and the project linked to an Asana project.
Lead or project steps need the right record: Move lead stage needs a lead trigger; Set project phase needs a related project.
Steps happened in the wrong order
Steps run along the connecting lines, left to right. Check how the cards are connected on the canvas — a misplaced delay or condition is the usual culprit.
A wait/delay step fired a little late or early
Expected. Workroom checks for due work about once a minute, so timed steps happen close to the mark, not to the second.
Did my automation run twice?
Each event runs a matching automation once. If you see duplicates, you probably have two similar automations active for the same trigger — often an original and its "(Copy)". Pause one.
Walter built something that isn't quite right
That's why Walter's drafts start paused and unsaved. Edit the cards, test, then save and switch it on. Re-prompting with more detail also helps.
I deleted an automation by mistake
Click Trash on the Automations page and click the restore arrow on its card — unless it was permanently deleted from the trash.
Can I stop an automation that's partway through a long wait?
Switching it off stops new runs from starting. Use History to see what's still in progress.
How many automations or steps can I have?
As many as you need. Keep each one focused — several small automations are easier to manage than one enormous one.
