What your vendor receives and sees

The email

Each vendor gets an email with a short intro (yours or Walter's), a button to open their response page, a list of what you're asking for, and the respond-by date if you set one. Any CC'd reps receive the same email and share the same link.

The response page

The link opens a clean, branded page with no login required. It shows, top to bottom:

  1. Your company header — logo, company name, email, phone and website, pulled from your company settings.

  2. Account number — the vendor's account number from their record (blank if none is on file).

  3. Quote request number and title, a short greeting addressed to the vendor, and the respond-by date if set.

  4. Your name — the vendor enters who's filling it out.

  5. Attach your quote (optional) — the vendor can upload their own PDF quote instead of (or in addition to) filling the form. Max 15 MB, PDF only.

  6. Each item, showing:

    • The product image and name, with the requested quantity.

    • A read-only Product details panel — manufacturer, model/SKU, dimensions, color, finish, material, and description — so the vendor knows exactly what they're pricing.

    • The fields you asked for (Delivery Type appears as a dropdown), plus an optional Notes field per item.

  7. Submit quote.

What the vendor cannot see

A vendor only ever sees their own items and the fields you asked for. They never see other vendors' items, your costs, or your margins.

After the vendor submits

The vendor sees a "Thank you" confirmation, and you receive a notification — in the notification bell and as a pop-up ping at the bottom of your screen — that they've submitted. If they return to the same link later, it shows they've already responded.

Link validity

Response links are valid for 30 days from when the RFQ is sent. After that the vendor sees an "expired" message; send a fresh RFQ for those items to issue a new link.
