Creating a Project

Learn how to create and organize a new project inside Indema.

Written By Julia M.

Overview

Create a project for each client job. The Create New Project form walks you through every section, and tells you what's still needed before you can save.

Before you start

  • Add the client to Contacts, or use + New client inside the form.

  • Set up project types and phases (Settings → Studio → Projects and phases) and services and rates, so they're ready to pick.

Step by step

  1. Go to All Projects and click + Add Project.

  2. Basics & contacts (required):

    • A cover image, and the Tile design (Color + code, Photo or Map).

    • Code and Project name (both required).

    • Start date and deadline.

    • Billing client (required).

    • Any Other clients on this project — they see exactly what the billing client sees in the portal. Invoices and contracts are still addressed to the billing client.

  3. Addresses (required):

    • Project address — or tick Same as client.

    • Billing address — defaults to the client's.

    • Shipping addresses — link a contact, vendor or contractor, or + Add one-off address. Linked addresses stay current: if the contact's address changes, every document that uses it updates.

  4. Type & phases:

    • Choose the Project type. It decides the phase template and which services your team can log time against.

    • Choose Schedule phases from, then select the phases you want.

    • Or tick No phase tracking for this project.

  5. Rooms (optional) — tag the rooms you'll specify FF&E for (e.g. Living Room, Primary Bath), or add a room that isn't on the list.

  6. Team & billing (required):

    • Use + Add someone to this project… to add team members.

    • For each service, choose Use default or set a project rate. Only people on the project can log time against it.

    • Optionally turn on Scheduled rate increase.

  7. Finance (required):

    • Currency, Service tax % and Product tax %. Leave the tax fields blank to use the studio defaults.

    • Client payments: where to track the budget from, when a retainer counts as committed, and whether to pass the processing fee to the client.

  8. Privacy — who on your team can see the project.

  9. The footer counts what's still needed (e.g. 5 items need attention before this project can be created). When it's clear, click Create Project.

What happens next?

  • The project opens on Home. Phases and their task templates are added from the project type.

  • The project code appears on its documents (e.g. EST-HARL-001).

Best practices

  • Use a consistent naming pattern, e.g. "Client – Residence".

  • Set the billing client and project address straight away — documents depend on them.

  • To start from a similar job, use ⋯ → Duplicate Project on an existing one.
