Timelogs: Overview

Written By Timothy Murenzi

The Timelogs module is where your studio tracks billable and non-billable time. Hours captured here flow into project budgets, payroll views, and invoices — so a clean Timelogs habit pays for itself the first time you invoice an hourly project.

This is the first in a four-part series:

  1. Overview (you are here) — what Timelogs is, the page layout, and how time is organized

  2. Tracking Time — the live timer, the manual side panel, and the CSV importer

  3. Editing, Splitting & Bulk Actions — fixing entries, the split feature, and bulk status changes

  4. Invoicing, Statuses & Troubleshooting — how time becomes a line on an invoice, the status lifecycle, and the most common errors

What the Timelogs page looks like

Open Timelogs from the sidebar. The page has four zones:

ZoneWhat it does

Page header (sticky)

Page title, Log Time button, member picker, search, and the bulk-action bar that appears when you select rows.

KPI strip

Total hours, billable hours and percentage, average hours per day for the filtered period, and weekday workdays logged this week.

Filter bar

Type (All / Billable / Non-billable), Status, Project, and a From → To date range.

Entry list

All matching entries, grouped by day. Each row shows the member avatar, project, task, what was worked on, status pill, billable toggle, and a three-dot menu.

The same component renders inside Project Details → Timelogs scoped to one project. Everything in this series applies there too.

How an entry is stored

Every timelog is one row with these fields (the ones you'll see in the UI):

  • Logged by — the member who worked the time. Defaults to you, but admins can log on behalf of others.

  • Project (required) — what the time was against. Time without a project can't be invoiced.

  • Task — the project task this rolls up to. Optional, but task hour rollups depend on it.

  • Service / Activity type (required) — drives billable status and the per-hour rate.

  • Phase + Room — optional, used by the Budget module to roll time into a specific phase/room.

  • Title (required) — short answer to "What did you work on?". This is what shows in invoice line items.

  • Date — when the work happened (not when it was logged).

  • Duration — hours + minutes (must total ≥ 1 minute).

  • Billable — toggle. Auto-fills from the service, but you can override per entry.

  • Memo — longer notes, optional. Only shown to your team (not on client-facing PDFs by default).

  • Status — Open / Closed / Paused / Paid / Unpaid / Billed (see the billing article for what each one means).

The KPI strip

The four tiles at the top respond to the current filter — change a filter, the numbers change. They are:

  • Total hours — sum of every entry visible in the filtered set.

  • Billable % — billable hours over total hours. Useful for utilization conversations.

  • Avg / day — total hours divided by the number of days that had at least one entry in the filtered range.

  • Days logged this week — Monday–Friday only. Weekends never count, even if you logged on them.

If the strip looks wrong, check the filter bar first — a hidden date filter is the usual culprit.

Who sees what

Time visibility is workspace-wide by default: every member of your studio can see every timelog in the studio. Edit and delete permissions are gated by the Permissions module:

PermissionWhat it controls

View all timelogs

Off → member only sees their own rows. On → full studio feed.

Manually log time

Whether they can use the side panel and CSV import at all.

Edit own timelog

Edit entries where loggedBy is them.

Edit others' timelog

Edit any entry. Admins usually have this; members usually don't.

Delete own timelog

Permanently remove their own rows.

These permissions live in Settings → Permission Sets. Apply the set to a member from Team → [member] → Permission Set.
