Adding your team
Written By Timothy Murenzi
Invite teammates so they can log in, log time and work on projects. Each person sets their own password from the invite email.
Invite a team member
Go to Contacts → Team tab and click Invite Team Member. Or go to Settings → Studio → Team and rates and click + Add a team member.
In Invite a team member (with the Team member tab selected), fill in:
Who — full name and work email (both required), phone, job title, and an emergency contact.
Placement — department, office/location, who they report to, and their System role (Principal, Partner, Manager, Lead, Member, Bookkeeper or Assistant).
Employment — employment type (W-2 employee, 1099 contractor, agency/staffing or independent contractor), start date and basis.
Documents — the required set follows the employment type (e.g. I-9, W-4, NDA, signed offer letter), with expiry reminders.
Compensation — saved as dated entries, so raises build a history.
Time & rates — billable rate, internal cost rate (never shown to clients), Can track time, and Time entries require approval.
Projects — assign them to projects now.
Access — choose their Starting access level (permission set).
Click Send invite. Their account is created and they're emailed a link to sign in and set their password.

Manage your team
Contacts → Team lists everyone with department, office, type, status, document status, bill and cost rates, and projects. Views include Needs attention, Pending invites and Departed.
Settings → Studio → Team and rates shows each member's role, permission set, Bills at and Costs rates, with Open to see their full record.
Rate changes apply going forward. Time already logged keeps the rate it was logged at, so past invoices don't move.
Troubleshooting
They didn't get the invite. Check their email address, ask them to check spam, and check the Pending invites view.
They can't see a module. Check their permission set. See Creating permission sets.
