Notifications, tracking, deadlines & reminders
Written By Timothy Murenzi
When a vendor submits
The person who sent the quote is notified in the notification bell and with a pop-up at the bottom of the screen, whatever page they're on. Clicking the notification opens the quote.
Sent and Seen tracking
The Quotes list shows at a glance what has happened to each request:

Sent — the date the quote went out, with "by {name}" underneath.
Seen — the date and time a vendor opened the request email. For multi-vendor quotes it also shows how many opened it (e.g. "1 of 2 seen"). A dash means nobody has opened it yet.
Responses — how many vendors have responded out of the total (e.g. 1 / 3).
The same information appears on each vendor chip inside the quote (sent, opened, responded, and "seen" with a date).
About "Seen". It relies on the vendor's email program loading images (a tiny tracking image in the email). Some email programs block images, so a blank Seen column doesn't prove the vendor hasn't read it. Once a vendor opens their response page or submits, their status updates regardless.
Deadlines and automatic reminders
When you set a Respond by date in the RFQ window, it appears in the Quotes list and on the vendor's page, and Workroom automatically reminds vendors who haven't responded as the deadline approaches:
At most one reminder per vendor every ~20 hours, and no more than three in total.
Only sent from roughly three days before to five days after the deadline.
Vendors who have already responded are never reminded.
No respond-by date means no automatic reminders.
