How to add a contact

Contacts are clients and anyone else you work with who is not a vendor. Here is how to add one.

Written By Julia M.

Add a client (or any other person you work with) to Contacts so you can link them to projects, estimates, invoices and the client portal.

Step by step

  1. Go to Contacts and click + Add Contact (top right).

  2. In Create new client, make sure the Client tab is selected. The other tabs are Vendor, Contractor and Team member.

  3. Under Basic information, enter the Full name and Email address (both required), plus an optional phone and Bio / notes.

  4. Under Billing address, enter the street, city, state, zip and country. Under Shipping address, tick Same as billing address or enter a different one.

  5. Under Preferences:

    • Tags — pick from the tags you manage in Manage Tags.

    • Default tax % — pre-fills on this client's documents.

  6. Under Client portal:

    • Tick Send client portal access to invite them now.

    • Set a Portal code — they log in with their email and this 4-digit code.

    • Tick Disable email notifications to stop automated emails to this contact.

  7. Click Create Client.

The contact profile

Click a name in the list to open the profile. The header has call, email, message, Edit and delete buttons.

  • Profile — email, phone, billing and shipping addresses, default tax %.

  • Tags — click + to add tags.

  • Projects — every project linked to this client.

  • Client portal — status (e.g. Active), login, portal code, last signed in, and Resend invite, Copy portal link and Turn off access. Turning access off removes their portal access; nothing is deleted.

  • Their projects — which projects they can see in the portal, with Preview and Edit.

  • Look & feel — override your firm's portal fonts and colours for this client, or click Use firm defaults.

  • Biography, plus Activity, Notes and Credits tabs.

What happens next?

  • If you sent portal access, the client gets an invite email. Their status shows as invited until they sign in.

  • You can now pick this client when creating a project, estimate, invoice or contract.

Important limitations

  • Full name and email are required.

  • Client credits belong to the client, not to a project.
