Grouping items on an Estimate or Invoice

Written By Timothy Murenzi

Overview

On longer estimates and invoices you can group lines by room or category, organise them into named sections, and nest supporting items as sub-items.

Group items

  1. Open the estimate or invoice in the editor (Edit on the quick view panel, or the pencil icon on the row).

  2. Click Group items at the top right.

  3. Choose Room (location) or Category.

Grouping reads the room or category from each product, so make sure those are filled in on the product first.

Use sections

  • Each estimate starts with New Section. Click the name to rename it and add an Optional Subtitle.

  • Click + Add New Section below the last section to add another.

  • Inside a section, add lines with + Add Product, + Add Service or From Library.

  • Each section shows its own Subtotal, Freight, Tax and Section Total.

  • Collapse a section with the arrow beside its name.

Reorder lines

Drag a line by the handle (⋮⋮) above its image.

Sub-items

A line can carry sub-items (for example, artwork bundled with a piece of furniture). Sub-items have their own quantity, cost, discount, markup, freight, tax and deposit, and use a Hide / Show toggle. When hidden, the editor notes Sub-items total … (hidden from client).

Important limitations

  • Deleting a section removes every line in it.

  • On a paid invoice, quantities and prices are locked; only descriptions, specifications and client-facing names can be edited.
